WasteVia provides digital tools for waste operations, service verification and material recovery. We respect privacy and handle personal information responsibly, transparently and with safeguards appropriate to its sensitivity.
This policy explains how WasteVia collects, uses, discloses, retains and protects personal information through our websites, applications, portals and related services (collectively, the “Services”).
2. Information we collect
Account and contact information
Name, business contact details, organization, role, account credentials and communication preferences.
Operational information
Service locations, asset identifiers, schedules, route assignments, timestamps, service observations, photos, notes, incident records, scale tickets, material classifications, recovery information and related evidence. Some operational records may include personal information.
Location and device information
When enabled for field operations, the Services may collect device location, proximity information, IP address, browser type, device identifiers, access times and security logs.
Communications and support
Information submitted through email, support requests, demonstrations, surveys and other communications with WasteVia.
3. How we use information
- Provide, configure, secure and support the Services.
- Authenticate users and administer roles and permissions.
- Coordinate routes, services, field evidence and operational workflows.
- Generate customer-authorized reports, estimates and analytics.
- Investigate incidents, prevent fraud and maintain platform security.
- Communicate about accounts, service changes and requested information.
- Comply with legal obligations and enforce agreements.
- Improve reliability and functionality using aggregated or de-identified information where appropriate.
We limit collection, use and disclosure to purposes that a reasonable person would consider appropriate in the circumstances.
4. Consent and organizational authority
WasteVia obtains consent where required by applicable law. Organizations that provide personal information to WasteVia are responsible for having the authority to collect and disclose it for the intended operational purposes. Users must not upload personal information they are not authorized to provide.
5. When we share information
We do not sell personal information. We may disclose information:
- To authorized users and organizations according to configured roles and permissions.
- To service providers that support hosting, communications, security, analytics and technical operations under appropriate contractual restrictions.
- To a selected hauler, processor, facility or other participant when authorized by the relevant organization or required to complete a service workflow.
- When required by law, court order or lawful government request.
- In connection with a business transaction, subject to appropriate confidentiality and legal requirements.
Information may be processed in Canada or other jurisdictions where our service providers operate. Information in another jurisdiction may be accessible to courts, law enforcement or national security authorities under that jurisdiction’s laws.
6. Data ownership and neutrality
Using WasteVia does not transfer an organization’s ownership of its submitted operational data to another service provider, hauler or processor. Access is governed by customer instructions, user roles, agreements and applicable law. We do not disclose one customer’s confidential operational data to another customer except as authorized or legally required.
7. Retention
We retain personal information only as long as reasonably necessary for the purposes described in this policy, contractual requirements, legitimate operational records, dispute resolution and legal obligations. Retention periods vary by record type. Information is deleted, anonymized or securely disposed of when no longer required.
8. Security
We use administrative, technical and physical safeguards designed to protect information against unauthorized access, use, alteration, loss or disclosure. No system is completely secure, and users must protect their credentials and promptly report suspected unauthorized access.
9. Access and correction
Subject to applicable law, individuals may request access to personal information WasteVia controls, ask for corrections, withdraw consent where applicable, or raise a privacy concern. If information is controlled by a WasteVia customer, we may direct the request to that organization.
10. Cookies and similar technologies
Our Services may use essential cookies or local storage for authentication, security, preferences and service operation. If non-essential analytics or marketing technologies are introduced, we will provide any notice or consent required by applicable law.
11. Children
The Services are intended for organizations and authorized workforce users, not children. We do not knowingly collect personal information from children through the public website.
12. Changes to this policy
We may update this policy as our Services or legal obligations change. We will post the revised version with a new effective date and provide additional notice when appropriate.
